Receptionist / Information & Referral Support
We are now hiring for a hybrid RECEPTIONIST / INFORMATION & REFERRAL SUPPORT position in Pensacola FL.
POSITION DESCRIPTION:
Provides information and assistance/referral on home and community-based services and long-term care options to older persons and/or their advocates.
SPECIAL CONDITIONS:
Follow-up is mandatory and conducted with the referred person and/or resources to determine the referral's outcome.
JOB STATUS:
Full-time, non-exempt
SUPERVISION RECEIVED AND EXERCISED:
The employee in this position reports to the Information & Referral Supervisor; the employee exercises no supervision.

- Assist in daily administrative roles and support.
- Receive, log, and distribute daily mail and faxes.
- Utilize excellent verbal and written communication skills, exhibit professionalism, and proper phone etiquette.
- Provide staff support to Elder Helpline and EHEAP.
- Returns calls to the Elder Helpline and assists callers and walk-in clients.
- Receives referrals from access points, including lead agencies, hospital discharge planners, etc.
- Educates consumers on system benefits requirements.
- Informs clients of HIPAA requirements, on the phone or face-to-face, retaining signed forms when completed in person.
- Assesses caller needs by telephone interview or in the office.
- Provides information about services, offers resources and counseling options, and refers clients to other Agency departments.
- Matches callers’ needs with an array of options, programs, and services —public or private —prioritizing callers for service and recognizing those whose needs are urgent.
- Counsel callers on alternative formal and informal community resources that meet their needs.
- Provides necessary information or referral to other agencies where services by state or federally funded programs are not indicated.
- Follow-ups on referrals are performed within fourteen (14) working days.
- Collects the caller’s personal and demographic information and records it in the eCIRTS system.
- Completes the eCIRTS enrollment form for the AAA data entry operator.
- Uses the eCIRTS system to store and access information on clients and community resources.
- Attends in-service training, staff meetings, and conferences as required.
- Provides staff support to the Elder Helpline during emergency disaster situations.
- Exhibits professionalism when communicating with the public and other professionals.
- Acts as a client advocate in a complex service delivery system.
- Comply with all security and confidentiality regulations.
- Monthly, check the postage machine, add postage as needed, and complete the monthly log of postage used
- Fill the copier machines' toner daily and order toner from the vendor as required.
- Receive, log, and disburse items along with documentation for the Loan Closet
- Review, assign WEB Page emails, and set up an intake process for referrals.
- Completes other duties as assigned or needed.
PHYSICAL REQUIREMENT OF THE POSITION:
Employee must be able to maintain effective auditory and visual discrimination and perception as needed to make observations, read and write, perform practical mathematical computations, communicate with others, and operate assigned office equipment. Employees must maintain mental capacity that permits them to make sound decisions, use good judgment, adapt to changing circumstances and emergencies, demonstrate intellectual capabilities, and work effectively with others, specifically senior adults. Employees must maintain a physical condition appropriate to the performance of assigned duties and responsibilities, which may include sitting or standing for extended periods of time and operating assigned office equipment, such as telephones, computers, calculators, copiers, and/or fax machines.
EXPERIENCE AND TRAINING GUIDELINES:
- EXPERIENCE - Minimum of three years’ experience in a similar program or social services agency. Experience with Microsoft applications, including Excel, Word, and Outlook.
- TRAINING – High school diploma.
LICENSURE OR CERTIFICATION:
- MUST have a VALID Florida Driver’s License.
- MUST be able to pass Level-2 Background Check.
SALARY RANGE:
Starts at: $34,320/yr. -- $37,440/yr. ($16.50/hr. -- $18.00/hr.)

SCHEDULE:
Hours of Operation are from 8:00AM -- 5:00PM
